Effective Date: October 17, 2026
This Artist Portfolio Review Authorization applies only to the temporary external portfolio link submitted with an artist application to Elate Artist Collective.
1. Limited Purpose
By submitting an application and selecting the portfolio-review authorization, the applicant authorizes Elate Business Concepts Group, LLC, operating Elate Artist Collective, to access the external portfolio solely to evaluate the application and determine whether Elate wishes to invite the applicant into a consignment relationship.
2. No Gallery Submission or License
The application portfolio is not a gallery submission, consignment, product listing, or authorization to sell, publish, market, print, frame, reproduce, transfer, or fulfill the linked artwork. No artwork from the application portfolio will be moved into the public gallery merely because Elate reviewed it.
3. Applicant Representation
The applicant represents that the applicant owns the linked work or has authority to display it for private application review. The applicant must not provide passwords, PINs, private account credentials, tax information, or other sensitive credentials as portfolio-access instructions.
4. Temporary Link and Deletion
Elate stores the portfolio URL only for the application-review period. When the review is completed, Elate removes the stored portfolio URL and temporary access instructions from the active application record and retains only a limited audit record showing that authorization was granted, review occurred, and access information was removed. Residual copies may temporarily remain in routine backups or security logs until normal rotation or overwrite and will not be used for publication, marketing, or ordinary gallery operations.
5. External Host
The external portfolio provider may collect or process information under its own privacy practices. Elate does not control the external host and does not require the applicant to transfer ownership or control of source files.
6. Consignment Is Separate
If Elate decides to accept the applicant for consignment, the applicant will receive access to a separate Artist Participation & Consignment Agreement. No consignment relationship begins until the required agreement is fully executed and the remaining onboarding conditions are completed.
7. Withdrawal Before Review
An applicant may contact Elate before review is completed to withdraw the application and request removal of the stored portfolio link, subject to any limited legal or security recordkeeping requirement.
